The cataloger affixes a label to the item containing call number information for end processing.
To find the appropriate accession number, the cataloger consults the shared google sheet.

2. Using SpineOMatic (See Labeling Procedures for labeling procedures using SpineOMatic), the location and music CD or DVD call number will be automatically imported from the Alma 852. Information such as number of discs and/or accompanying material information will need to be added manually by the label person. The number of discs will be given ONLY when more than one disc are in the container.
The manually added information will be helpful for student workers at the Media Services to examine physical pieces inside the container during circulation transaction.

3. A call number label will be placed on the cover of the accompanying printed notes or booklet. Only the following information is needed on the label for the booklet: Location, CD or DVD number, and booklet or notes. See "Label for accompanying material" in the first table for an example.

4. In addition to a call number label, Blu-ray discs will also receive a special "Blu-ray Disc" sticker applied to the upper spine of the container.

Title Labels for CDs and DVDs

Some discs will lack title information on the disc container and/or discs (for example, DVD-Rs). For such discs, cataloging end processing staff will create and affix labels or add appropriate identifying information to these types of materials according to the following guidelines. Consult the special formats cataloger about any additional end-processing questions.

For the container, generally choose from the following three options:

  • Insert a photocopy of the original insert if available in the clear front pocket of the container.
  • Insert a printout with the title both for the front and for the spine in the clear front pocket of the container.
  • Attach a label sticker with the printed title, on the front and on the spine.

For the disc, use a permanent marker to record the title. Attaching labels should be avoided due to concern about their long-term durability and their possible interference with the playability of the disc.

Item Records

For item records containing multiple pieces, item records need to record number of pieces under Fulfillment Note:

 Item consists of 2 pieces.

Slim Disc Cases

Slim disc cases

Some CDs/DVDs/BDs are issued in extremely thin cases. If the spine of the slim case is less than 7mm, cut the case and move it to a blank jewel case. This is so that Media can apply a spine label containing the disc accession number, making it easier for student employees to retrieve discs from the gemtrac shelving. Cataloging does not provide this type of labeling.

If possible, preserve all of the contents of the original packaging. If you do need to discard some part of the case, use good judgment. Be sure to cut the slim case so that it fits snugly in the jewel case.

If the slim case spine is 7mm or greater, take no action.
