From time to time, Cataloging and Metadata Services receives books with bookplates for cataloging. This type of books could be gifts from prominent donor(s) or acquired from a grant/fund. For such books, a bookplate will be prepared with appropriate donor/fund information and placed on the first page inside the book. This process is done at the Acquisitions Department. See the sample images below.
Books will be delivered by the Acquisitions Department and placed in the “Rush” basket. A green “Has Bookplate” slip will be inserted in the book to alert the catalogers. Cataloging such gift books will not be different from cataloging other materials purchased by the Library. In addition, a local note (590 field) and access point (700, 710 fields etc.) should be added to the record as needed and as appropriate. When catalogers receive this type of books, please search Alma/Primo using keyword search option for donors or foundation information to identify gift books of the same donor in the Library. If records of titles with same bookplate are found, use any of them as a sample record and add an appropriate note (590) and/or heading (700 and/or 710 2_ $5 NjEiC) to the new record. All first-time bookplate books should be delivered to and examined by librarians for instructions of adding appropriate notes and/or headings to the records. These local fields are used mostly for identification of a specific donor or grant. Follow the instructions below:
1. Add a 590 field indicating the source of the title
590 $a Gift of the Patricia Krohn Kurtzman Fund.
590 $a This book is a gift of Mrs. Margery Ward in honor of Herman M. Ward.
590 $a Funded by a grant from the Karma Foundation.
590 $a Frances Cook Poetry Collection, presented by William W. Cook ’54, in memory of Frances Cook.
2. Provide appropriate name access points (700 or 710 field) for Add a relationship designator ($e) “donor” to each 700 or 710 field for donor, or "dedicatee (item)" for those to whom the item is dedicated. It is acceptable not to record $e for name access points when no appropriate relationship designator can be found. Consult librarians as needed.
700 1_ $a Ward, Herman M., $e dedicatee (item)
700 1_ $a Ward, Margery, $e donor.
700 1_ $a Hirsch, Felix E. $q (Felix Edward), $d 1902-1982, $e dedicatee (item)

700 1_ $a Cook, Frances Clark.
700 1_ $a Kurtzman, Patricia Krohn, $e donor.

3. Occasionally, a collection may be established in honor of the donor. In this case, a local collection field (710 2_ $5 NjEiC) will be added. For example,
710 2_ $a Frances Cook Poetry Collection. $5 NjEiC
