IR Workflows: Overview

This document provides a quick overview of the steps involved in processing IR deposits and/or creating IR metadata.

1) Receive citations, PDFs, etc. from contributors

2) Obtain license agreements, etc. from contributors (Use repository@tcnj.edu account for all official IR-related communication.)

  • Faculty: Check if they have Master IR License Agreement on file. If not, our e-mail will include a link to the online master license form. Also, our e-mail to everyone will ask them to click through the online "Submission of Work" (SOW). If contributions include both solo-authored and co-authored works, we will need to make sure that they will click through two separate SOWs for each type.
  • Students: Our e-mail will ask them to click through the online FERPA release form.

3) Create metadata for each work in DSpace. Include DOI information when appropriate.

4) Check publisher copyrights for published materials. If we find that we can deposit publisher PDFs, we will only need to search for them through library databases rather than contact contributors (if they have not sent them to us initially). Otherwise, we will contact contributors for an appropriate version that can be deposited to the IR. All files will be converted to PDF/A whenever possible prior to depositing. Also rename the files according to the file naming convention. If no appropriate version is readily available to us, no additional action will be needed; we will be creating metadata-only records in the IR.
