Metadata Application Profile and Workflow

The primary purpose of this document is to provide guidance on IR submission and metadata creation workflows in order to facilitate accurate, complete, and consistent resource description and improve digital resource discovery and access within and beyond the local institutional repository environment (run by DSpace).

Documentation Format

Element Name The name given to the data element as it appears on the metadata creation screens (“Submit: Describe this item”). An element represents a single property or attribute of a resource, such as the “title,” “language,” and “publisher” of an article.
Display Label The name given to the data element as it appears on simple item record display
Definition Specifies the type of information required for the named element. In most cases, brief definitions are taken directly from the Dublin Core Element Set definitions.
Obligation

Indicates whether or not a value must be included

Mandatory – A value is required

Mandatory if applicable – A value is required for a particular type of resources

Mandatory if available – A value is required if it is available

Optional – A value is not required; can be included on a case-by-case basis

Occurrence Indicates whether only a single value or multiple values can be used

Repeatable – The named element can be repeated to record more than one value.

Non-Repeatable – The named element cannot be repeated.

Comment Content rules and guidelines for recording values in the named element
Example Illustrate the types of values, conventions, and content rules used for the named element

Metadata Workflows and Guidelines

1. "Submit: Choose Collection" screen

Select the collection you wish to submit an item to from the list. Ask to have a new collection created if ever needed.

Include standard bibliographic citation information for an article, paper, chapter, etc. in a larger publication using any citation style. Journal titles may be in abbreviated form. (We follow DC optional provision here.)

Take the citation from the resource itself, the journal website, information from author, etc. If the citation is not readily available, construct an MLA, ALA, or any other standard citation by using a citation generator in the journal website, searching in Google Scholar (and using the "cite" feature), or by using online guides or online generators (1, 2, 3).

Citation information recorded here will be additionally parsed out into separate elements in a post-processing step.

A value should be always included for a published material. Add a DOI link for articles. If no DOI information is available for an article, or for other types of published materials, include a link to the online version of the resource that is publicly accessible on the external Web site. See this guide on finding DOI information if not available on the resource.

For books, use an OCLC WorldCat link unless DOI information is available.

  • Image: A visual representation other than text (e.g., photographs, paintings, prints, drawings, diagrams, maps, musical notation; may include both electronic and physical representations)
  • Image, 3-D
  • Interactive Resource: A resource requiring interaction from the user to be understood, executed, or experienced (e.g., multimedia learning objects, chat services, virtual reality environments)
  • Moving Image: A series of visual representations imparting an impression of motion when shown in succession (e.g., animations, movies, television programs, videos)
  • Software: A computer program in source or compiled form.
  • Sound: A resource primarily intended to be heard
  • Text: A resource consisting primarily of words for reading (includes images of texts)

3. "Submit: Describe this item" screen #2

Transcribe subject keywords listed on the resource or publisher web site, if available. Always capitalize only the first word (e.g., "Academic libraries"). For authority control purposes, when recording subject keywords, begin by cross-checking subject keywords against the subject browse list and record the keyword already found in the list if it is a simple variant of the keyword found on the resource (e.g., MARC formats vs. MARC standards). Consult librarians if in doubt.

For published PDFs and postprints. If they are unavailable in hand, take subject keywords from journal websites. Do not use abstracts supplied by databases.

Also check subject keywords in OCLC FAST website to see if there are matching FAST terms. If found, record such FAST terms in addition unless they are exactly the same as subject keywords found on articles or journal websites.

For subject keywords relating to space and time, record them in the dc.coverage.spatial and dc.coverage.temporal elements during the post-processing process (see below).

Abstract

When there is no full-text file to be attached to the record being created, add the following phrase: File not available for download due to copyright restrictions

When there are multiple descriptions to be recorded, first record only one description. See "post-processing steps" below for the procedure to handle additional descriptions.

4. "Access" screen

Skip this screen unless special instructions are provided.

 

5. "Submit: Upload a File" screen

Textual files to be loaded should be first converted to PDF/A format. For metadata-only records, upload a dummy file (to be deleted at the post-processing stage).

 

6. "Submit: Upload Files" screen

For records with the (non-dummy) file to be kept, click on the “Change” button under “Description” and then record the file format followed by an applicable term from the following list in the “File Description” box. Consult Cataloging/Metadata Librarian if other terms are ever needed.

Post-Processing Steps

1. Delete the dummy file that was used during the submission process if necessary.

2. Click "Edit" under "Admin Tools" to make needed changes to the record created during the submission process.

(1) dc.coverage.spatial

Record the intellectual content of the resource (subject keywords) in relation to space (place names, regions, etc.). Ask how to record this element as needed.

  • Obligation: Mandatory if applicable

(2) dc.coverage.temporal

Record the intellectual content of the resource (subject keywords) in relation to time. Ask how to record this element as needed.

  • Example: 2001-2010, 2013

(3) dc.description

When there are one or more additional descriptions to be recorded, record each description in separate dc.description elements.

(4) Article citation information: Add the metadata elements listed below to parse out citation information for published articles in journals and conference proceedings, book chapters, etc. (components within compilations). Take information from the dc.description.citation element.

  • prism.publicationName: Name of journal, etc. Remove any initial article in a journal title if found (e.g., “The” journal of ... )
  • prism.volume: Volume no., if available
  • prism.issueIdentifier: Issue no., if available
  • prism.startingPage: Starting page
  • prism.endingPage: Last page

(5) For IR records with embargoed files: Add access restriction terms in the dc.rights element. Also follow instructions on placing necessary embargoes as provided.
